Scope

This policy explains how James Wright, CPA, LLC ("we," "us," or "our") handles information collected through our website, client portal, text messaging program, and related accounting services. Information we receive while providing professional services may also be protected by applicable laws, professional standards, and client agreements.

Information we collect

Depending on how you interact with us, we may collect:

  • Contact and identity information, such as your name, email address, mailing address, and telephone number.
  • Client portal information, including login credentials, account preferences, uploaded tax documents, messages, and support requests.
  • Accounting and invoice information, including invoice numbers, descriptions, amounts, balances, due dates, payment status, and customer identifiers.
  • Payment and transaction information. Payment card, bank, or PayPal details may be collected directly by the applicable payment processor; we receive related confirmation and transaction records.
  • Text messaging information, including your mobile number, consent record, message history, and opt-out requests.
  • Technical and security information, such as IP address, browser type, device information, timestamps, and portal activity.

QuickBooks Online invoice information

When your client account is connected to our QuickBooks Online records, the portal may retrieve and display invoice information associated with you or your business. The portal does not give you direct access to our QuickBooks Online account. We use customer mappings and account authentication to limit invoice access to the appropriate client.

How we use information

We use information to provide accounting, tax, bookkeeping, and consulting services; operate and secure the client portal; authenticate users; display and administer invoices; process and reconcile payments; communicate about appointments, documents, deadlines, invoices, and firm updates; respond to requests; prevent fraud; maintain records; and meet legal and professional obligations.

How we disclose information

We may disclose information to service providers that support our portal, hosting, communications, payment processing, document delivery, and accounting systems; to government authorities or professional advisers when required or permitted by law; or with your direction or consent. Relevant providers may include Intuit QuickBooks Online, payment processors, and telecommunications providers, each of which handles information under its own terms and privacy practices.

We do not sell personal information. We require service providers to use client information only for the services they perform for us, subject to applicable contractual and legal obligations.

Text messaging privacy

When you opt in, we use your mobile number and consent information to send the messages described at the point of consent and to maintain legally required opt-in and opt-out records. Message frequency varies. Message and data rates may apply.

Mobile numbers, text messaging originator opt-in data, and consent information are not sold or shared with third parties or affiliates for their own marketing or promotional purposes. We may disclose this information to messaging vendors, carriers, and other service providers only as necessary to operate the text messaging program.

You may opt out at any time by replying STOP. Reply HELP for help, or contact us using the information below.

Data security and retention

We use reasonable administrative, technical, and physical safeguards designed to protect information. No internet transmission or storage system is completely secure. Please protect your portal credentials and notify us promptly if you suspect unauthorized access.

We retain information for as long as reasonably necessary to provide services, administer our relationship, maintain business and consent records, resolve disputes, and satisfy legal, tax, accounting, and professional requirements.

Your choices

You may update certain account information through the portal or contact us to request access to or correction of your information. You may unsubscribe from text messages as described above. We may retain information when required by law, professional standards, security needs, or our record-retention obligations.

Policy changes

We may update this policy periodically. The revised version will be posted on this page with a new "Last updated" date.
